What it is
A CRM integration is a built-in connection between the tool and the system where your sales team keeps its accounts, contacts and deals, such as Salesforce or HubSpot. Once connected, data flows between the two. A customer success platform such as Gainsight or Vitally can, for example, show the renewal date and deal owner from the CRM next to its own health score, and write notes back to the account record.
Why it matters
Without a connection, someone has to export and import spreadsheets, and the two systems drift apart within weeks. Customer success, sales and finance then argue over whose numbers are right. A solid integration gives everyone one view of the customer and lets teams act on changes, such as a renewal approaching or a usage drop, from the system they already work in.
It matters most when several teams touch the same accounts. A very small team with a few dozen customers can often live with a shared spreadsheet.
What to check
- Which CRMs are supported natively, and which only through a generic connector or a third-party automation tool?
- Is the sync one-way or two-way, and how often does it run?
- Which fields and objects can be mapped, and can you choose which side wins when values differ?
- What happens to the data when a record is merged or deleted in the CRM?
