Fireflies.ai
Why Fireflies.ai
This AI meeting assistant records, transcribes, and summarises calls across Zoom, Google Meet, Microsoft Teams and other platforms. It automatically generates summaries, extracts action items, and syncs notes to CRMs and collaboration tools. The platform provides conversation-intelligence analytics for tracking trends across all your meetings.
What it does
Fireflies.ai is an AI meeting assistant. A bot joins your calls on Zoom, Google Meet, Microsoft Teams and other platforms, records them and turns the audio into a transcript. It then writes a summary, pulls out action items and stores everything in a searchable archive. It can send the notes on to your CRM and other work apps, and it adds conversation analytics so you can see trends across many meetings.
Why you would need it
Nobody takes good notes while also running the conversation. After a busy week of calls, the details are gone: who promised what, which objection came up, what the customer actually asked for. Follow-ups go out late or not at all, and the CRM holds a vague one-line summary.
Fireflies fixes the capture step. The record exists, it is searchable, and the next step is written down. A colleague who missed the call reads the summary instead of asking for a recap.
Where it fits
Fireflies sits next to your video call tool and your CRM. The calendar and the call platform feed it. It feeds the CRM, your task tool and your chat. Its integrations page lists HubSpot, Salesforce, Slack, Notion, Linear and Airtable, among others. It replaces manual minutes and, for some teams, a separate call recording tool.
What stands out
- Many connections. The vendor lists more than 100 apps across CRM, project management, storage, email and applicant tracking.
- An official MCP server. AI tools such as Claude and Cursor can read your meeting summaries and transcripts directly.
- A documented GraphQL API. You can pull transcripts and build your own flows.
- A free plan. You can try it on real calls before you pay anything, and paid plans are priced per seat.
My take
I'd pick Fireflies when calls are where your business decisions happen and the notes are getting lost. It is most useful for sales, customer success and research, where the same questions come up again and again and you want to search them.
What I'd watch is the bot. A recording bot appearing in a meeting is visible, and some customers dislike it. Ask for consent where you need it and be clear about it. Also check summaries before they go into the CRM. Speaker labels and action items can be wrong when the audio is poor or several people talk at once.
If you mostly want notes for yourself, compare Otter.ai, Fathom and Read AI before you decide.
Verdict
Pick Fireflies when you run many calls and want transcripts and summaries to land in your CRM and task tools automatically. Skip it when you hold few calls, when your customers will not accept a bot in the room, or when you only need a private note taker.

Before you choose
The bot is visible
Fireflies joins as a participant. That is simple to set up, but some people dislike being recorded by a bot, and in some sectors it is a problem. Agree on a policy for consent and for what is stored. Vendor materials mention GDPR and SOC 2 compliance, so ask for the current documents if your customers require them.

Accuracy depends on the audio
Transcripts and speaker labels are only as good as the sound. Accents, crosstalk and bad microphones cause mistakes. Treat the summary as a draft for important calls, and have a person check anything that goes into the CRM or a contract.
Plans are priced per seat
There is a free plan, and paid plans are charged per seat. Features such as deeper analytics and some integrations sit on higher plans, so check the vendor's pricing page for the exact split. Check which plan you need for your CRM sync and for API access before you roll it out to the whole team.
Alternatives are close
Meeting assistants overlap a lot. Compare Otter.ai, Fathom, tl;dv, Avoma and Zoom AI Companion. If you want call coaching and deal analytics for a sales team, look at Gong too.
