What it is
Workflow automation means you set a rule once and the tool follows it every time. For example, when a deal moves to "Won", create an onboarding task, send a welcome email and notify the finance team. HubSpot, Pipedrive and Process Street are examples of tools that let you build such rules. Some use simple "if this, then that" rules and others offer branching paths and waiting steps.
Why it matters
Repetitive admin eats hours and gets forgotten when people are busy. Automation makes sure the follow-up happens and in the same way each time. It matters most when the same sequence is repeated many times a week, such as lead follow-up or onboarding. It matters less when volumes are small and each case differs, because building and checking the rules can take longer than doing the work. Badly set rules can also send the wrong message to many people at once.

- Which triggers and actions are available, and can you branch or add delays?
- Can you test a workflow before it affects real records?
- Is there a log showing what ran and what failed?
- Are there limits on the number of automations or runs in your plan?
