What it does
Trainual is software for documenting how your company works and training people on it. You write standard operating procedures, policies and role guides, then assign them to people as training with due dates, tests and e-signatures. It tracks who has completed what.
It is organised in three suites. The Training suite covers process documents, onboarding paths and tests. The Operations suite adds meeting agendas, decision and action tracking, team updates, scorecards and goals. The Performance suite adds review cycles, feedback and growth areas.
Why you would need it
You feel the pain at the third or fourth hire. The founder or a senior person explains the same process again, each new hire gets a slightly different version, and when someone leaves, part of how the company runs leaves too.
Writing it down in a wiki helps, but nobody knows who has read what. Trainual adds the part a wiki lacks: assignment, tracking and proof that people understood.
Where it fits
Trainual sits next to your HR system. It syncs with HRIS and payroll tools such as ADP Run, Paycom, Justworks, UKG Ready, HiBob and Humaans, so new hires are added and leavers removed, and its FAQ lists Gusto, BambooHR and Zenefits. Login can use Google, Okta or Microsoft Entra, and Google Drive can be connected to its AI assistant.
It replaces scattered documents, shared drives and manual onboarding checklists. It does not replace your task tool or your HR system.

- Training features built for compliance: tests, e-signatures, completion tracking and reminders, plus a library of more than 400 courses and hundreds of templates.
- An AI assistant that answers staff questions from your documented processes, and AI help to draft and update content.
- Org charts, role maps and a tools hub that shows who owns each system.
- Zapier and webhooks for automation, an MCP server on the Premium plan, and API access on Enterprise.
My take
Trainual is purpose-built for training and documentation. It is not a general wiki, and it is not a task manager. That narrow focus is the point: permissions, tracking and search are designed around onboarding and consistency.
If you only need docs and a wiki, Notion or Coda is more flexible and likely cheaper. Trainual earns its place when you need to prove that people were trained.
Verdict
Pick Trainual if you are growing, onboarding is painful and you need tracked training with accountability. Skip it if you are a tiny team or you only need a place to keep documents.

Sales-led buying and team size
There is no stated free trial. The vendor asks you to book a demo, and its FAQ says Trainual is best suited for companies with 25 to 1,000 employees. A footnote on one pricing page mentions a minimum of ten seats. Check the minimum and the contract terms with sales, because two pricing pages exist and you should confirm which one is current.
Features sit on plans
Single sign-on, custom branding and the MCP server are on the Premium plan, and API access is on Enterprise. The Claude and ChatGPT connectors are listed as coming soon. If you need those, check the status before you sign.
Content is your job
The tool does not write your processes for you, even with AI help. Plan the time to document, assign owners and keep content current. An out-of-date library is worse than none, because people trust it.
