What it is
An email sequence is a set of messages scheduled in advance, for example a first email on day one, a reminder on day four and a final note on day nine. When a contact replies, books a meeting or unsubscribes, the sequence stops, so nobody receives a follow-up that ignores their answer. Many tools add tasks to the sequence as well, such as a call step. HubSpot, Pipedrive and Close all offer versions of this.
Why it matters
Most deals need several touches, and following up by hand is the first thing that slips when people are busy. Sequences make sure every lead gets a consistent follow-up and give the team a way to test which wording works. You need this if you do outbound sales or chase many leads. If your business relies on a few personal relationships, hand-written emails may serve you better.
What to check
- Does the sequence stop automatically on a reply, and does it detect out-of-office messages?
- Are replies and sends logged on the contact record without manual work?
- What are the daily sending limits, and how is deliverability protected?
- Can the team share and reuse sequences, and see which ones perform best?
