What it is
Version history keeps earlier copies of a file as it changes. You can open the document as it looked yesterday or last month, see who edited it and bring an old version back. The retention period is how long those copies are kept, for example a few days, a number of months or without limit. Plans often differ here.
Why it matters
Mistakes, accidental deletions and disputes about who changed what happen to every team. A longer history is a safety net. For contracts, policies and financial documents, a clear record of changes can also matter for compliance.
A short retention period may be fine for casual notes. If you work with material that needs to be recoverable for months or years, check the number carefully, because the figure usually differs by plan.
What to check
- How long are versions kept on the plan you are considering?
- Can you see exactly who changed what, and compare two versions side by side?
- Are deleted files recoverable, and for how long?
- Can an admin restore a version on behalf of someone else?
