What it is
Real-time collaboration means that two or more people can open the same document, board, form or design together and see each other's edits as they happen, usually with a visible cursor for each person. It is the experience familiar from Google Workspace documents. Figma, Miro, Airtable, Coda and Fillout are among the tools that offer it.
Why it matters
Without it, teams pass files back and forth, and end up with several versions and unclear ownership. Live collaboration matters most for workshops, planning sessions, design reviews and any file that more than one person touches in a day. If work is mostly done by one person at a time, it may add little. Also consider outsiders such as clients or freelancers, who may need to join without a paid seat.
What to check
- Ask how many people can edit at once, and what happens to performance when the file gets large.
- Check whether comments, mentions and version history come with it.
- Confirm whether guests can join by link without paying for a full seat.
- Try an editing session with two colleagues and see if changes appear quickly and without conflicts.
