What it is

Built-in outreach, sometimes called sequences, means you can set up a series of emails that goes out over days or weeks to a chosen list of contacts. A typical sequence has an introduction, a follow-up three days later and a final reminder, and stops automatically when the person replies. Keap, Marketo Engage, Pardot and Warmup Inbox are examples of tools listed with this feature, and they differ a lot in how they work and whom they are meant for.

Why it matters

Following up is where most sales conversations are won or lost, and doing it by hand is slow and easy to forget. Sequences keep a regular rhythm, personalise each message with the contact's details and record what happened. Having them in the same tool as your contacts or warmup avoids exporting lists to another system.

This matters if you do outbound prospecting, or need structured follow-up after a lead arrives. If your business relies on inbound enquiries and newsletters, ordinary automation may cover your needs.

Be careful about the difference between marketing automation to people who agreed to hear from you and cold outreach, because the rules on consent differ between countries.

What to check

  • Does the sequence stop automatically when someone replies or books a meeting.
  • Can you send from your own mailbox, and how many messages a day are allowed.
  • Can you add steps such as tasks, calls or conditions, or only emails.
  • Does the tool handle unsubscribes and consent in a way that meets the rules in your market.
