What it is
Guest access lets you bring outside people into the tool, such as clients, freelancers or partners, with limited rights. Guests may see only the items you share, and sometimes they can comment or edit. For example, a client joins a shared project board to review work without seeing the rest of your workspace. Confluence, Google Docs, Miro, Otter.ai and Slack list this feature.
Why it matters
Working with outsiders over email attachments is slow and creates version problems. Guest access keeps everyone in one place while protecting the rest of your information. It matters if you work with clients or agencies often. If you only collaborate within your own team, you can skip it.
What to check
- Do guests count towards your paid seats, or are they free?
- What can guests see and do, and can you restrict them to one space or file?
- Can you remove guest access quickly and see who has it?
- Do guests need to create an account?
