How to use DocuSign
The contract workflow problem
Imagine you've just closed a deal. Your prospect is ready to sign. You email them a contract. They download it. They print it. They sign it by hand. They scan it back (the scanner breaks, so they take a photo on their phone—the image is blurry). They email the scanned file. You check if it's actually signed. It is. Then you have to print it, sign it, scan it, email it back. Then the legal team needs to sign. Another round trip. And another.
Three weeks pass. A document that took 5 minutes to create has taken 3 weeks to finalise.
Electronic signatures solve this. You send a link, they click it, they sign, it's done. The entire process takes 5 minutes instead of 3 weeks.
Electronic signatures are legally binding
Many people assume e-signatures are less valid than handwritten signatures. They're not. In the UK, electronic signatures have the same legal standing as handwritten ones under the Electronic Transactions Act 2000. In fact, e-signatures create a better audit trail than handwritten signatures. DocuSign records the signer's IP address, timestamp, and device details. If there's ever a dispute, you have proof of exactly when the signature was applied and who applied it. With a handwritten signature, you just have the signature itself.

How DocuSign works
You upload a document (PDF, Word, etc.). You mark where signatures are needed and what information to collect (name, date, initials). You then send the document via a unique link to the signer. They open the link, fill in their details, draw their signature (or use a typed signature), and click "sign". DocuSign captures the signature, timestamp, and identity details. The signer receives a copy. You receive a notification that it's been signed. You can download the signed document and an audit trail.
If you need multiple signatures (e.g., client signs first, then your CFO), you can set the order. The document moves through signers in sequence. Reminders are automatic.
DocuSign vs. simpler alternatives
Hellosign (now Dropbox Sign): Similar to DocuSign but cheaper and simpler. Good for small businesses doing light e-signature work. Less suitable for complex multi-signer workflows.
Adobe Sign: Part of the Adobe suite. Integrated if you're already using Adobe products. Similar features to DocuSign but less robust.
Signing by hand and scanning: Free but slow, error-prone, and no audit trail. Legally valid but risky because you can't prove the signer didn't alter the document.
Real-world use cases
Sales contracts: A SaaS company sends contracts to customers. With DocuSign, the contract goes out, customer signs within 1 hour, and the deal is legally closed. Without it, the contract goes back and forth for days, delaying cash recognition and frustrating the customer.
Employment contracts: HR department sends offer letters to new hires. Instead of printing 3 copies, signing all of them, and mailing them, the offer is sent via DocuSign, signed, and archived automatically.
Lease agreements: A property firm manages 200 rental agreements. Collecting signatures from tenants and landlords used to take weeks. Now it takes days. Each agreement is stored with full audit trail, making disputes easier to resolve.
Vendor agreements: Finance team managing NDA, MSA, and SOW agreements with vendors. DocuSign ensures all agreements are signed in the right order and nothing goes missing.
Pricing and plans
DocuSign charges per month per user or per envelope (document sent). Plans range from £10/month for solo users to enterprise pricing for large teams. Most mid-market companies pay £500–2,000/month depending on how many documents they send and how many users need access.
Security and compliance
DocuSign is SOC 2 Type II certified, GDPR compliant, and HIPAA eligible. Documents are encrypted at rest and in transit. Audit trails are immutable. For highly regulated industries (finance, healthcare, law), DocuSign is a trusted choice.
Integrations
DocuSign integrates with Salesforce, HubSpot, Slack, Microsoft 365, Slack, and most CRMs. APIs are available for custom integrations. The most common integration is with Salesforce, where a DocuSign signature widget appears directly on deal records.
Strengths and weaknesses
Strengths: Legally binding in 190+ countries. Robust audit trail. Multi-signer workflows. Enterprise-grade security. Excellent integrations.
Weaknesses: Expensive for light users. Interface is corporate and clunky. Overkill if you only send a few agreements per month. Customer support can be slow.
Learning curve
Low. Most teams are sending their first DocuSign within 1 hour of signing up. The interface is straightforward: upload, mark signature fields, send. No technical setup required for basic use.
Who should use it
Any company sending contracts regularly: sales teams, HR, finance, legal, real estate. If you're sending more than 5 contracts per month, DocuSign pays for itself in time saved. Solo founders and small teams with light contract volumes might be better served by Dropbox Sign.
Verdict
DocuSign is the gold standard for electronic signatures. It's expensive, but if contracts are a core part of your business, the time saved and legal certainty are worth it. The audit trail and multi-signer workflows give you confidence that agreements are actually signed and not lost. If you're currently printing and scanning contracts, switching to DocuSign is the fastest win you can make.
How to automate DocuSign
Native integrations
Start with your CRM. The vendor lists Salesforce and HubSpot among its integrations. One idea: when a deal reaches the contract stage, generate the contract from deal data, send it for signature and move the deal to won when it is signed.
API and webhooks
Docusign has a developer platform with APIs for sending and managing envelopes. Use it when you want signing inside your own product. Check the developer docs for event notifications before you plan an event-driven flow.
MCP server
Docusign announced a generally available MCP server on 30 September 2026. Check which actions it exposes and what permissions it needs before connecting an assistant to contracts.
