Team expense cards

The provider issues separate cards, physical or virtual, to employees, each with its own spending limit and its own statement, under one company account.

What it is

Team expense cards are company cards given to individual employees, instead of sharing one card or paying people back later. Each card can have its own limit and rules, can be frozen at once, and shows who spent what. Many providers also offer virtual cards, which are used for online subscriptions. GoDutch is listed as having it.

Why it matters

Shared cards make it hard to see who spent what, and reimbursing employees from their own pockets takes admin and delays. Separate cards give each person the means to buy what they need, with controls for the business. They matter once several people buy software, travel or advertising for the company. A business where only the owner spends can use a single card.

What to check

  • Ask how many cards are included, and whether more cards add a cost.
  • Check what controls exist, such as limits per card, merchant restrictions and instant freezing.
  • Test how a new card is requested and approved, and how quickly a virtual card can be used.
  • Find out whether each card's spending is matched with receipts and exported to your accounting package.
