The verdict

For a lean B2B team with shared trackers, manual reports and a few dashboards, I'd pick Sheets. It costs nothing to start, everyone already knows it and it is the quickest way from some data to a view.

Pick Tableau when reporting has turned into a weekly spreadsheet chore, numbers come from several systems and every meeting starts with a debate over whose figure is right. It suits teams with someone to own the data model.

Do not jump early. Tableau is more than a small team needs, and it is only as good as the data behind it. Do not stay too long either. When a sheet becomes the system of record or starts to slow down, it is time to move.

Choose Google Sheets if…

Pick Sheets if you are a lean B2B founder or small team with no analytics tool or database yet. A content calendar, a pipeline tracker, a budget or campaign results all work well as one shared file with clear sharing controls, comments and version history.

Apps Script and the public API let you automate it and connect it to other tools. Forms, ad platforms and CRMs can export into it.

Treat it with care. Large files get slow, there are no relations or enforced data types, and anyone with edit access can overwrite a formula. Lock the cells that matter and name an owner for each important sheet. If your finance team builds complex models with macros, Excel may serve them better.

Choose Tableau if…

Pick Tableau if you are a data, finance or operations team that has outgrown spreadsheets and needs governed dashboards and self-serve exploration across several data sources. People can filter and drill down themselves, so fewer questions turn into new exports.

You can learn it free with Tableau Desktop Free Edition, which analyses Excel, CSV and database files locally with the full authoring tools. For teams, licences are per user by role, billed annually, and every deployment needs a Creator.

It needs an owner for data sources, naming and refresh schedules. If a handful of simple dashboards would do, or nobody has time to maintain the data model, stay with Sheets or try a lighter tool such as Looker Studio.
