The verdict

For most small B2B teams I'd pick Google Calendar and stop there. It is free, it rarely breaks, and it is the easiest option with outsiders. Add Motion later if your calendar is full of meetings, your deadlines slip because the time you expected was taken, and you are tired of replanning by hand. Motion has no free plan, so use its trial with your real calendar before you commit. If you like to plan manually, or your calendar is quiet, Motion adds little. If you are on Microsoft 365, compare the Outlook calendar before either.

Pick Google Calendar if you are a founder or small team on Google Workspace, or you work with many people who are. Shared calendars, invitations and free and busy checks work the same on web, Android and iOS, and Gmail turns confirmations into events. It is the low-friction option for everyone you meet. There is a public API and an official MCP server in developer preview. It is a calendar, not a planner, so themed days, task planning and automatic rescheduling need another layer. Admin and sharing controls are stronger on paid Workspace plans, and the tie to Google matters if you want a portable stack.

Choose Motion if…

Pick Motion if you are a busy founder or operator whose day is eaten by meetings and who is willing to trust a tool with the calendar. It builds a schedule from priorities, durations and deadlines, warns when a task is at risk and rebuilds the plan when a meeting lands. Booking links, a notetaker and project tools are in the same product. It works with Google, Outlook and iCloud calendars. The automatic planning is the reason to pay for it. Test it for a few weeks on your real calendar first, and agree honest estimates before rolling it out to a team.
