What it is
Export formats are the file types a tool can produce when you want to take your work out of it. A document tool might offer PDF, Word and Markdown. A data tool might offer CSV or Excel. The list tells you what you can open elsewhere, send to a client, or keep as a backup.
Why it matters
The formats decide how free you are to leave and how useful your files are outside the tool. A PDF is fine for sharing but cannot be edited. A format such as CSV or Markdown can be reused in other systems. A tool that only exports to its own proprietary format makes switching expensive.
It matters most for anything you may need years from now, such as contracts, financial records or a knowledge base. For short-lived content, a basic export is usually enough.
What to check
- Which formats are available for a single item, and which for a bulk export of everything?
- Does the export keep formatting, images, comments and links?
- Is exporting restricted to admins or to higher plans?
- Can you test an export during a trial and open the file in the software you already use?
