Google Calendar vs Toggl

Google Calendar logovsToggl logo
Google Calendar plans your time ahead and shares it with others. Toggl records the hours you actually spend and turns them into reports and invoices. Services firms often need both.

The verdict

If you have to choose one, I'd start with Google Calendar when you are on Google Workspace, because every team needs a shared place to book meetings. I'd choose Toggl first when time is your product, for example in an agency or consultancy that bills by the hour or quotes from past projects. A calendar will not tell you why a project overran, and a timer will not stop two people booking the same slot. Most service teams end up with both. The calendar shows what was planned, and Toggl shows what happened.

Who each is for

Choose Google Calendar if…

Pick Google Calendar if you are a founder or small team that needs shared calendars, invitations and availability checks across web, mobile and Gmail. It is reliable, simple to understand and the easiest option when you meet outsiders. Meet links attach automatically, and there is a public API. It does not measure anything. It will not tell you what a client cost you in hours. Admin and sharing controls are stronger on paid Workspace plans. If your company runs on Microsoft 365, the Outlook calendar is the better fit.

Toggl logo

Choose Toggl if…

Pick Toggl if you are a freelancer, agency or small service team that bills by the hour, or needs to see where time goes. Logging works on the web, desktop, mobile and as a browser extension, and reports export as PDF, CSV or XLSX. Rates, profitability reports and capacity planning help you quote better and spot overbooked people. There is a free plan for a limited number of users, and the richer features sit on higher plans. Paid plans are priced per seat, so count only the people who need to track. Tracking works only if the team keeps doing it.
